All works have been posted, and we are on schedule - which we inadvertently set to be opening tomorrow at midnight PDT, though neither mod will be awake at that time, oops! So we've decided to open the collection tomorrow (Saturday, May 16th) at 7:00PM PDT, which is 2:00AM Sunday morning GMT, and will give you approximately 24 hours to make the final edits to your works before anyone else can see them. I expect for most of you that will mean that you will awaken on Sunday morning and have things to read!

Just a reminder, there is no anonymous period for this exchange - your name will be on your work as its author, and you're welcome to post about it on your Dreamwidth/LJ/Tumblr blog. Please comment on your gift to thank your author (I would say creator but we have no fanart this year); if there is an issue with your gift such that you feel you can't do so (for example, if it hits a DNW) please contact a mod.

A reminder that [community profile] sutcliff_swap works are due next Saturday, May 9!

The easiest way to post your work is to go to the "Assignments" link on your AO3 dashboard and then click "fulfill assignment." AO3 will then automatically fill in the collection as well as your recipient.

If you need to default from [community profile] sutcliff_swap , today is the last day to do so without a penalty. If you default after today, we may ask you to either complete your assignment later or create a treat before you would be able to participate in the next round.

To default, simply email me (riventhorn[at]gmail.com). You don't need to give a reason, but please include the pseudonym that you signed up under. If you default but end up finishing your assignment, you are welcome and encouraged to post it to the collection anyway.

If you find that you need to default after today, the more advance warning you can give us the better so that it is easier to find a pinch hitter. We would prefer you default and find you can finish your assignment after all as opposed to waiting until right before the collection is due to open to default.

Remember, works are due May 9th

Treats

A treat is any story or piece of artwork not created for your assignment. You can create extra things for your recipient or treats for people who are not your recipient. People who have not officially signed up as participants are also welcome to make treats if they find prompts inspiring. There is not an obligation to create treats; it's only if you want to.

Unlike official assignments, there is no minimum requirements for treats: ficlets under 1000 words and quick sketches are both fine!

To post a treat, simply post your story or artwork to the 2020 collection as you would for an assignment, and fill in the pseudonym of the person the treat is for. It's nice if you indicate in tags or notes that it's a treat.

You can view participants' requests here or possibly here too. (I'm not sure what's visible if you are not a mod--let me know if neither of those links work).

Assignments have been sent out. If you have not received your assignment, or you have issues or questions about your assignment, email either riventhorn[at]gmail.com or isiscolo[at]gmail.com and let us know.

We have nine participants this year, and it should be a great fest!

Following are the links to all the Dear Creator letters. If your letter is still a placeholder, now would be a good time to update it! If you have not written a letter and decide you would like to, please leave a link in the comments and we'll update the list.

Signups are now open for [community profile] sutcliff_swap . You can access the sign-up form at the collection's profile page at AO3 here. Further instructions are on the form itself. If you have any questions or encounter problems, please ask them in a comment on this post or PM me. This is the first time I've used AO3 for fest signups, so I may have messed up a setting.

Signups will remain open through March 6.

[community profile] sutcliff_swap signups will open on Feb 29! See the full schedule here.

Signups are on AO3 this year. If you haven't taken a look at the tagset yet, please do, and let us know in the comments if there are any works not on the list that you want added. These should be works that you plan to request--we aren't trying to create a comprehensive tagset of all Sutcliff sources.

We need everyone's help in getting the word out about the fest, so please snag one of the banners below and pimp the fest to your flist. Also mention it on Discord, Tumblr, or your other fannish haunts!

It's time to start brushing up on your lyrical descriptions of the British countryside and pondering new hound metaphors because [community profile] sutcliff_swap will be running again this year! Signups open on February 29th. For the full schedule, see this post

I'm very excited to be modding the exchange again with [personal profile] isis . If you are new to the swap or need a refresher on the rules and FAQs, you can view them on AO3 here. The basics are that fic needs to be at least 1,000 words, art needs to be a finished piece, and that works must be set in canon or canon-AU only. No modern AUs, space-age AUs, etc. Also note that the 2011 movie Eagle of the Ninth is not eligible, although the book definitely is.

This year, we're going to be doing signups through AO3 and are creating a tagset for the various canons. We will only be pre-seeding tags for the canons, not characters, as there are too many to make that feasible, particularly as minor characters often get requested. We'll still be hand-matching as well. We've already put in many of the canons that usually get requested for the Swap. But to ensure that we capture all the canons that people think they might like to request, please go take a look at the current tagset here. If there is a work missing that you would like added, let us know in a comment to this post. Note that we are not trying to make it a comprehensive list of every Sutcliff work, but rather a list of the works that people want to request for the exchange.

We'll do a pimping post with banners soon, but don't hesitate to publicize the exchange. We'd love to attract as many people as possible!

Ask any questions in comments to this post, and again, take a look at the tags.

[community profile] sutcliff_swap will be on hiatus in 2019, and I will probably be making it a biennial fest from now on (so should be back next year). Of course, if anyone would like to run it this year, I am happy to turn over the keys to the kingdom. I took over modding the fest from the original creators, so am not proprietary about it at all. :)

The [community profile] sutcliff_swap collection is now open! We have nine wonderful fics to enjoy, including two that are the first work for that canon--a story for Flame-Colored Taffeta and a story for A Circlet of Oak Leaves. Because these are the first works for that canon, the tags haven't been wrangled yet. Therefore, make sure that you view the collection by "works" as opposed to by "fandom." If you view it by fandom, those two will not show up.

I want to give a big thank you to chantefable and UrsulaKohl, who both stepped in to write pinch hits for us!!

Remember to leave a comment and kudos on your gift (and hopefully on other fics as well). Thanks to everyone for participating and see you next year!

Due to a last minute default, and the need for a last minute pinch hit, we need to delay opening the collection until tomorrow at the earliest or possibly a bit later in the week. Thank you for your patience as we make sure that everyone has a gift when the collection opens. There is an excellent selection of fics to look forward to reading!

If you need to default from Sutcliff Swap for any reason, the last day for defaulting and being able to participate next year without penalty is today. You can still default after today, but you may have to write a treat or complete your assignment later to be eligible to participate next year.

To default, simply email me (riventhorn[at]gmail.com.) You don't need to give a reason, but please list what pseudonym you signed up under. If you default but end up finishing your assignment, you are welcome and encouraged to post it to the collection anyway.

If for some reason you find you need to default after today, the more advance warning you can give us to find a pinch hitter, the better. We would prefer you default and find you can finish your assignment after all than wait until the last minute to default.

Remember, fanworks are due May 26

[community profile] sutcliff_swap  is back this year!! Signups open March 18. You can see the full schedule here.

As a reminder, or for those who have never participated, Sutcliff Swap is a multifandom exchange for fanfiction and fanart based on the childrens' and adult novels and short stories of British historical fiction author Rosemary Sutcliff. While perhaps best known for her novels of Roman Britain, Sutcliff's works spanned settings from c. 2000-1000 BCE to the 19th century Ottoman Empire.

(We do not permit fanworks based on the 2011 movie The Eagle, or on the Eagle of the Ninth radioplay or BBC series, the BBC Blood Feud series, or any other adaptations for this exchange. However, works based on the books Eagle of the Ninth and Blood Feud are extremely welcome.)

This exchange is also for stories set during the canonical era of the source--which means AU from canon events is fine, but please save the modern and science fiction AUs for other venues.

If you do not feel you can sign up for the exchange this year, you can still sign up as a potential pinch hitter, beta someone's art or story, or create treats.

Your mods this year will be [personal profile] riventhorn and [personal profile] isis

As a reminder, we are no longer running a mirror of the exchange on the LJ comm, although a few announcements may be posted there.

We hope to see some familiar faces participating and also welcome new people as well!! Please feel free to spread the word!

If you have any further questions that are not addressed here, please email or message a mod or leave a comment and we will answer!

Eligibility and Participation

Q. I'd like to participate, but I've only read one or two Sutcliff books. Can I still sign up?

A. Sure! We will do our best to match all signups.  If you can still come up with three different character requests (e.g. Eagle of the Ninth, 1. Marcus/Esca, 2. Marcus/Cottia, 3. Guern), matching should be pretty easy.

If you can't come up with three different character requests, let us know and we'll see what we can do. We would rather people sign up than not sign up, and since we're matching by hand there's a fair bit we can do to accommodate.

There are also several Sutcliff short stories which are quick reads. Contact a mod if you're not sure where to find them.

Q. I'd like to participate, but I only really like writing/drawing [slash/gen/het]. Can I still sign up?

A. Sure! Since we match creators and recipients manually, we do our best to match according to preferences, so people receive assignments they're comfortable with. We usually have a mixture of gen, het, polyamory, and m/m slash. If we run into any matching problems, we will communicate further with you about what you are able to offer to try to resolve the issue. We would like as many people to participate as possible!

Q. I defaulted last year. Can I still participate this year?

A. Yes, but you may have to write a treat or complete your assignment from last year to be eligible.

Q. Is Eagle of the Ninth eligible as a fandom?

A. Yes, the book Eagle of the Ninth is eligible, although adaptations such as the 2011 movie are not. We have chosen to include it because most existing fic and art is based primarily on the movie, plus the movie does not include many of the interesting secondary characters. In addition, activity in wider Eagle/Eagle of the Ninth fandom has died down, so we see no reason to exclude EOT9 from Swap eligibility at this point.

Requests

Q. I'm requesting three/four different fandoms. Should I just list all the characters I like for each fandom?

A. In your sign-up, please only list a few characters you'd like to see in a story together, as this makes matching easier. If you would be happy with stories or art about different characters as well, you can mention this in your optional details.

If you would be happy with a story about any character from the source, you can request "any," but please be aware that this may include minor characters.

Fanwork Content

Q. I know this is a canon-setting only exchange, but can I include supernatural or magical elements in my fanwork?

A. Yes, if they are something that would be recognizable to the characters. For example, ghosts, gods, and mythological elements are fine (and encouraged!). Transplanting modern concepts of vampires or zombies into a Roman British setting would be outside the scope of this exchange.

Q. What about alternate universes?

A. Alternate universe stories which retain the canon setting but alter events or character roles are fine. For example, writing an AU where a character doesn't die, but instead survives and has more adventures is fine. Please save the modern and science fiction AUs for other venues.

Q. Do I have to imitate Sutcliff's writing style if I am writing a story?

A. No, of course not! While some people in book fandoms try to imitate the original author's writing style, others do not. We encourage writing in whatever style you are comfortable with.

Treats

Q. Are you allowing treats? What if some people receive more than one fanwork and others don't?

A. Yes. While this means that some recipients may receive more gifts, this is already a possibility in the event of a defaulter finishing a work, an assigned creator creating multiple works, or treats for pinch hitters, and of course some creators will greatly exceed the minimum wordcount or art requirements while others will not. We like to hope that in a rare fandom exchange like this, everyone wins when there are more wonderful works to enjoy, and that everyone appreciates the care that went into their gifts.

However, we absolutely don't want people to feel pressured to produce extra treats. We recognize that Sutcliff canons are often challenging and fanworks can take extra effort for research and betaing, so we hope no one will feel they have to do more than their assignment if they're not comfortable doing so.

 A few things:

1. [community profile] sutcliff_swap will be on hiatus this year. I have a lot of stuff going on during the timeframe when we usually run the fest (finishing my PhD, graduating, trying to find a job, etc), and I'm not exactly sure when things will settle down. I definitely intend to bring it back next year, provided I have, indeed, found a job and am not wandering homeless in the wilderness. That being said, I am not proprietary about swap at all--if there is someone who would like to mod the fest this year, let me know, and I can give you access to everything.

2. Given the new user agreement required by Livejournal, I am making the executive decision to stop using the lj comm [livejournal.com profile] sutcliff_swap . I'm not going to delete the comm, but I will stop posting to it, and all future fests will be run strictly from the Dreamwidth comm. Again, if anyone has strong objections to this and wants to take over the lj comm, we can work that out.

3. Even if swap isn't running this year, [personal profile] chantefable is running a monthly Sutcliff fanmedia challenge over on [community profile] sutcliff_space ! It is very low pressure--each month, prompts are posted (really awesome prompts!), and past months remain open, so there isn't a strict time limit. Go check out this month's prompts.
