Thank you to all participants for another great round of [community profile] sutcliff_swap ! I have been enjoying all the fics immensely and hope everyone else is as well.  If you haven't yet, please do make sure to leave a comment on your gift for your creator.

I hope to see all of you again next time in 2022!!

All works have been posted, and we are on schedule - which we inadvertently set to be opening tomorrow at midnight PDT, though neither mod will be awake at that time, oops! So we've decided to open the collection tomorrow (Saturday, May 16th) at 7:00PM PDT, which is 2:00AM Sunday morning GMT, and will give you approximately 24 hours to make the final edits to your works before anyone else can see them. I expect for most of you that will mean that you will awaken on Sunday morning and have things to read!

Just a reminder, there is no anonymous period for this exchange - your name will be on your work as its author, and you're welcome to post about it on your Dreamwidth/LJ/Tumblr blog. Please comment on your gift to thank your author (I would say creator but we have no fanart this year); if there is an issue with your gift such that you feel you can't do so (for example, if it hits a DNW) please contact a mod.

[community profile] sutcliff_swap assignments are due tomorrow, Saturday May 9th!

The deadline is technically midnight PDT, but you have a little grace because I will not default open assignments until I wake up the next morning, around 5:30AM PDT (12:30PM GMT). The easiest way to post your work is to go to the "Assignments" link on your AO3 dashboard, find your Sutcliff Swap 2020 assignment, and then click "Fulfill." AO3 will then automatically fill in the collection as well as your recipient (though if you have open assignments in multiple exchanges, check to make sure they are not also included when you post).

You can post an unpolished draft now and edit it during the next week before reveals, but please do not post any unfinished works; if you are almost finished and need more time, you can email me or [personal profile] riventhorn (isiscolo at gmail.com, riventhorn at gmail.com) today and request an extension. If you don't think you'll finish in time, please go to your Assignments page on AO3 as above and hit "Default." You may have to complete your assignment or create a treat before being allowed to participate in the next round, but we would prefer you default asap rather than simply letting the deadline pass, so we have more time to find a pinch-hitter.

If you need to default from [community profile] sutcliff_swap , today is the last day to do so without a penalty. If you default after today, we may ask you to either complete your assignment later or create a treat before you would be able to participate in the next round.

To default, simply email me (riventhorn[at]gmail.com). You don't need to give a reason, but please include the pseudonym that you signed up under. If you default but end up finishing your assignment, you are welcome and encouraged to post it to the collection anyway.

If you find that you need to default after today, the more advance warning you can give us the better so that it is easier to find a pinch hitter. We would prefer you default and find you can finish your assignment after all as opposed to waiting until right before the collection is due to open to default.

Remember, works are due May 9th

A reminder that the [community profile] sutcliff_swap default deadline is coming up on April 22. If you need to default for any reason, please let us know as soon as possible by emailing me (riventhorn[at]gmail.com). You don't need to give a reason, but please list what user name you signed up under. If you default after April 22, you will have to write a treat or complete your assignment later to be eligible to participate in the next round.

Treats

A treat is any story or piece of artwork not created for your assignment. You can create extra things for your recipient or treats for people who are not your recipient. People who have not officially signed up as participants are also welcome to make treats if they find prompts inspiring. There is not an obligation to create treats; it's only if you want to.

Unlike official assignments, there is no minimum requirements for treats: ficlets under 1000 words and quick sketches are both fine!

To post a treat, simply post your story or artwork to the 2020 collection as you would for an assignment, and fill in the pseudonym of the person the treat is for. It's nice if you indicate in tags or notes that it's a treat.

You can view participants' requests here or possibly here too. (I'm not sure what's visible if you are not a mod--let me know if neither of those links work).

Assignments have been sent out. If you have not received your assignment, or you have issues or questions about your assignment, email either riventhorn[at]gmail.com or isiscolo[at]gmail.com and let us know.

We have nine participants this year, and it should be a great fest!

Following are the links to all the Dear Creator letters. If your letter is still a placeholder, now would be a good time to update it! If you have not written a letter and decide you would like to, please leave a link in the comments and we'll update the list.

Friday, March 6 is the last day to sign up for [community profile] sutcliff_swap . I'll be closing the signups probably late morning on Saturday, Pacific Standard Time. You can sign up at the AO3 profile page here

Signups are now open for [community profile] sutcliff_swap . You can access the sign-up form at the collection's profile page at AO3 here. Further instructions are on the form itself. If you have any questions or encounter problems, please ask them in a comment on this post or PM me. This is the first time I've used AO3 for fest signups, so I may have messed up a setting.

Signups will remain open through March 6.

[community profile] sutcliff_swap signups will open on Feb 29! See the full schedule here.

Signups are on AO3 this year. If you haven't taken a look at the tagset yet, please do, and let us know in the comments if there are any works not on the list that you want added. These should be works that you plan to request--we aren't trying to create a comprehensive tagset of all Sutcliff sources.

We need everyone's help in getting the word out about the fest, so please snag one of the banners below and pimp the fest to your flist. Also mention it on Discord, Tumblr, or your other fannish haunts!

It's time to start brushing up on your lyrical descriptions of the British countryside and pondering new hound metaphors because [community profile] sutcliff_swap will be running again this year! Signups open on February 29th. For the full schedule, see this post

I'm very excited to be modding the exchange again with [personal profile] isis . If you are new to the swap or need a refresher on the rules and FAQs, you can view them on AO3 here. The basics are that fic needs to be at least 1,000 words, art needs to be a finished piece, and that works must be set in canon or canon-AU only. No modern AUs, space-age AUs, etc. Also note that the 2011 movie Eagle of the Ninth is not eligible, although the book definitely is.

This year, we're going to be doing signups through AO3 and are creating a tagset for the various canons. We will only be pre-seeding tags for the canons, not characters, as there are too many to make that feasible, particularly as minor characters often get requested. We'll still be hand-matching as well. We've already put in many of the canons that usually get requested for the Swap. But to ensure that we capture all the canons that people think they might like to request, please go take a look at the current tagset here. If there is a work missing that you would like added, let us know in a comment to this post. Note that we are not trying to make it a comprehensive list of every Sutcliff work, but rather a list of the works that people want to request for the exchange.

We'll do a pimping post with banners soon, but don't hesitate to publicize the exchange. We'd love to attract as many people as possible!

Ask any questions in comments to this post, and again, take a look at the tags.

[community profile] sutcliff_swap will be on hiatus in 2019, and I will probably be making it a biennial fest from now on (so should be back next year). Of course, if anyone would like to run it this year, I am happy to turn over the keys to the kingdom. I took over modding the fest from the original creators, so am not proprietary about it at all. :)

The [community profile] sutcliff_swap collection is now open! We have nine wonderful fics to enjoy, including two that are the first work for that canon--a story for Flame-Colored Taffeta and a story for A Circlet of Oak Leaves. Because these are the first works for that canon, the tags haven't been wrangled yet. Therefore, make sure that you view the collection by "works" as opposed to by "fandom." If you view it by fandom, those two will not show up.

I want to give a big thank you to chantefable and UrsulaKohl, who both stepped in to write pinch hits for us!!

Remember to leave a comment and kudos on your gift (and hopefully on other fics as well). Thanks to everyone for participating and see you next year!

Due to a last minute default, and the need for a last minute pinch hit, we need to delay opening the collection until tomorrow at the earliest or possibly a bit later in the week. Thank you for your patience as we make sure that everyone has a gift when the collection opens. There is an excellent selection of fics to look forward to reading!

A reminder that fanworks for [community profile] sutcliff_swap  are due tomorrow, May 26. When you are ready, you can post them to the AO3 collection here. If you will not be able to finish or if you need an extension, please let me know asap.

If you need to default from Sutcliff Swap for any reason, the last day for defaulting and being able to participate next year without penalty is today. You can still default after today, but you may have to write a treat or complete your assignment later to be eligible to participate next year.

To default, simply email me (riventhorn[at]gmail.com.) You don't need to give a reason, but please list what pseudonym you signed up under. If you default but end up finishing your assignment, you are welcome and encouraged to post it to the collection anyway.

If for some reason you find you need to default after today, the more advance warning you can give us to find a pinch hitter, the better. We would prefer you default and find you can finish your assignment after all than wait until the last minute to default.

Remember, fanworks are due May 26

A reminder that the default deadline is coming up on May 12!

When you are ready, you can post your work to the 2018 collection.

Here's the info on treats, if anyone is so inclined:

Treats:

A treat is any story or piece of artwork not created for your assignment. You can create extra things for your recipient or treats for people who are not your recipient. People who have not officially signed up as participants are also welcome to make treats if they find prompts inspiring. There is not an obligation to create treats; it's only if you want to.

Unlike official assignments, there is no minimum requirements for treats: ficlets under 1000 words and quick sketches are both fine!

To post a treat, simply post your story or artwork to the 2018 collection as you would for your assignment, and fill in the pseudonym of the person the treat is for. It's nice if you indicate in tags or notes that it's a treat.

You can view participants' requests on the spreadsheet here

Also, a question for the room--does anyone have any experience running exchange fests through AO3? I'm considering doing the next swap signups, etc. on AO3 but I'm worried that the tag wrangling would be a nightmare. I'm unclear on whether or not you have to have all the tags set up before people can sign up--and given the plethora of Sutcliff characters and works that sounds a bit daunting if so. I don't really want to do nominations in order to create a tag set beforehand either.
